Remember, They Work for YOU

After you’ve filed a claim and received a claim number, when reaching out initially, just tell them you have a problem that needs a contractor. That’s it. After your contractor has diagnosed the problem, ask them to speak with us over the phone before any repairs are completed.

We Need to Talk to Them

Our claim decision is based on your contractor’s professional diagnosis, which is why approval is required before repairs are completed. All we need from them is a few details about the unit, what caused the failure, and their price for repair or replacement. That’s it. Easy, right?

You May Have to Pay Up Front

We get it… the whole point is to prevent you from paying out of pocket. Though we do offer immediate payment by credit card over the phone, because your contractor doesn’t work for us, they’re not obligated to accept payment from us. This is why we also offer reimbursement to you for approved claims, with near immediate processing—most customers receive it in only a few days.

Lastly, much of a contractor’s business is gained through referrals. Tell your contractor if you might be referring their services—and let them know we refer their services, too.

First Things First

As you know, you can choose ANY licensed contractor for claims with APHW. This gives you control over who you have in your home, where they come from, and when they get there. It means the contractor works for you, not us, so you get a true third-party opinion. And then they need to get paid for their work.

That’s where APHW comes in, right? The answer is yes, with a caveat: Because your contractor doesn’t work for us, they are not obligated to accept payment from us. This is why we offer options for payment (once you receive telephone approval).

Payment Options

  1. Our first option is for us to pay the contractor with a credit card. They get right to work following approval, you verify the completed work with us, and we pay the contractor right over the phone—fast and easy with zero wait time. So why doesn’t every contractor take this option? Because not all contractors can accept credit cards. In some cases, provider charges also make it less appealing.
  2. Our second option is to pay the contractor by check in the mail. We offer near-immediate processing, so the check often arrives in just a few business days.
  3. Our third option is for you to pay your contractor up front (or purchase a replacement and have it professionally installed), email us the “paid in full” invoice, and be reimbursed your approved claim amount by check in the mail.

Our end goal is to ensure that payment gets where it needs to as quickly as possible, whether that’s to you or your contractor. But America’s Preferred Home Warranty (APHW) customers have control with every claim—especially now, with stay-at-home orders across the nation—because they choose their own licensed contractors.

“Homeowners can call around until they find a contractor who is still servicing people during social separation,” said APHW Vice President of Operations Mike Sadler. “Some contractors may have made the personal choice to not send their people out, but that doesn’t preclude anybody from calling around to find one that still is. And a lot of contractors are; particularly for heating, plumbing, electrical, even appliances in some cases. You need your refrigerator when you’re stuck at home.”

APHW is also providing some leeway to customers nearing the end of their contracts during the outbreak. “In some areas, we’re finding that we open the claim, but a contractor can’t come out for a few weeks,” Mike said. “On a case by case basis, we’ve been extending the time they need to get that claim taken care of. I don’t honestly know how we couldn’t do that—we certainly wouldn’t hold [COVID-19 based delays] against them.”

For the most part, APHW customers are still getting work completed on their timeline and without any delay. “With everything we’ve done and planned for an event just such as this, our operations are running exactly the same as they were,” Mike said. “We’re just doing it remotely.”

Furnace Technician Trains APHW CSRsWhen your contractor tries to explain what caused your furnace to fail, what does it sound like? Technical jargon? Straight-up gibberish?

Try as they might, some things just can’t be easily translated into layperson. The good news, though, is that your America’s Preferred Home Warranty (APHW) customer service representatives (CSR) will have a pretty good idea what your furnace technician is describing—APHW brought one in last week to train them in person.

“APHW wanted to make their CSRs more familiar with what they hear about on the phone,” said Andy Miller, a service manager for Lammers Heating & Air Conditioning in Jackson, Michigan, adding that this knowledge will help streamline the claim process for customers. “It simplifies everything. Now when we say something like ‘igniter,’ they can visualize it and move things along faster.”

Andy came with more than 14 years of experience in the field. He reviewed all the inner workings of standard (and not-so-standard) household furnaces with the CSRs, encouraging them to ask questions along the way. He also covered common malfunctions and proper furnace maintenance.

Lammers Heating & Air Conditioning has worked through APHW’s claim process with their own customers many times before, and Andy was quick to express appreciation for the company. “I feel like they’re above par, because they train their employees, the claim process is streamlined, and because their billing and payments are prompt.”

He was also encouraged by the attentiveness of the classes he taught. “They asked a lot of good questions that I wasn’t even expecting,” Andy said. “They were very responsive.”
